1. Purpose of this Manual

Under PAIA, CoActivate Group is required to grant individuals access to records if required for the exercise or protection of any legal right.

Under POPIA, CoActivate Group must be transparent about how personal information is collected and handled, and allow individuals to access and correct their information.

This manual explains what records are available, how requests may be submitted, and what rights data subjects have under these Acts.

4. Description of CoActivate Group's Business Activities

CoActivate Group is a diversified business services and telecommunications group. Our subsidiaries operate in:

• Business Process Outsourcing (BPO)
• Telecommunications & Community Commerce
• Technology Platforms & Systems
• Recruitment Services

The Group's corporate website is informational in nature. The only personal information collected through the website is via the Contact Us form, where individuals voluntarily provide their details for business enquiries.

5. Rights under PAIA and POPIA

• Under PAIA, individuals may request access to records held by CoActivate Group that are required to exercise or protect their rights.
• Under POPIA, individuals may request CoActivate Group to:
  • Confirm whether their personal information is held
  • Provide access to that personal information
  • Correct or delete inaccurate or unlawfully obtained information
  • Stop processing their personal information in certain circumstances

7. How to Request Access to Information

1. Complete the PAIA Request Form (Annexure A).
2. Submit it to: info@coactivate.co.za
3. Pay the prescribed Request Fee of R50 (unless exempt).

Payment methods accepted: EFT, bank-guaranteed cheque, or postal order.

8. Processing of Requests

• CoActivate Group will respond within 30 days of receiving the complete request and payment.
• If additional time is needed, the requester will be notified.
• Once a decision is made, the requester will be informed of the outcome and any access fees payable.

9. Fees Payable for Access

• Request Fee: R50 (waived if requesting your own personal information or if below exemption thresholds).
• Access Fees (if granted):
  • Photocopies: R1.10/page
  • Printouts: R0.75/page
  • CD: R70
  • Transcriptions/audio/images: R20 – R60
  • Search & preparation: R30/hour (after the first hour)
  • Postage: Actual cost

A deposit may be required if search time is expected to exceed six hours.

• Subsidiary Records: Information relating to group companies
